Who you are:

The sales coordinator is a hands-on position focused on handling day-to-day sales administration responsibilities, coordinating with various internal stakeholders to achieve operational efficiency and  ensuring a premium relationship with customer. Reporting directly to the head of sales coordination  she/he plays a key role in supporting the sales team and provide an important link between the salesperson and the client.

What you will do:

Sales support: To help sales team improve their efficiency, sales coordinator will provide a variety of support services and direct feedback from customers to sales team and any relevant departments.

Order satisfaction: Sales coordinator will contribute to customer satisfaction by ensuring the accuracy and timely processing of orders into the ERP System. She/He will manage the day-to-day order processing from - Receiving and processing purchase orders - Verifying orders, including customers' personal information and payment details - Contacting customers to answer queries and obtain missing information - Issuing sales transaction invoices - Handling shipping arrangement and documents (freight carrier and customs…) - Maintaining and updating sales and customer records

Coordination: Collaboration with other departments is an important responsibility for sales coordinator. He/she could have to contact various internal stakeholders to achieve operational efficiency (technical customer service to deal with any product or technical queries, manufacturing and logistics…)

Records & Reporting : Sales coordinator will maintain records & tools (ERP/CRM). They also provide information to the finance department on incoming and completed orders, as a basis for forecasting cash flow.

Skills & Experience

What you will need to be successful:

  • 3+ years of experience working in sales coordination, or similar environment.

  • Deep knowledge of CRM and ERP software, preferably Microsoft 365.

  • Excellent written and verbal communication skills and possess the ability to carry phone-based conversations.

  • Strong customer focus with good listening and clear message transmission capabilities

  • Detail-oriented with a strong work ethic

  • Work independently and accomplish required tasks with minimal supervision.

  • Ability to multi-task, prioritize, and manage time effectively.

  • Technology savvy with good working knowledge of Microsoft Office & Microsoft Dynamics

  • Strong problem-solving and conflict resolution skills.

  • Excellent organizational skills and attention to detail

  • Fluency in German (spoken and written).

  • Proficiency in French and English would be an asset.
