Overview
We are looking for a temporary HR Operations Support Coordinator to be based on-site in Etxebarri/Vitoria. The role has been created to strengthen frontline People Operations support during a critical period of operational transformation and increased workforce planning complexity.
The successful candidate will serve as the primary local point of contact for employees, managers, and HR stakeholders, helping to resolve day-to-day employee administration issues, coordinating with centralized HR teams, and ensuring timely escalation and follow-up of operational matters. The position will play a key role in improving employee experience, increasing visibility of HR support within the plant, and identifying opportunities to improve processes and service delivery.
This role will work closely with local people leadership, People Operations teams and Payroll to support hiring, employee lifecycle administration, payroll-related inquiries, workforce planning activities, and issue resolution.
Responsibilities
Act as the dedicated on-site HR Operations point of contact for employees and managers in Etxebarri.
Support resolution of employee administration, hiring, payroll, time management, and workforce-related queries.
Coordinate closely with centralized People Operations, Payroll, PBPs and local teams to ensure timely processing and resolution of cases.
Monitor open issues, follow up on escalations, and ensure actions are completed within agreed timelines.
Provide hands-on support during periods of high hiring activity and workforce planning cycles.
Assist with onboarding, employee documentation, contract management follow-up, and employee lifecycle activities.
Identify recurring operational challenges and work with relevant teams to implement sustainable solutions.
Track trends, root causes and process bottlenecks impacting employee experience or operational performance.
Support communication between plant leadership, employees, trade union representatives, and People Operations teams when required.
Help maintain accurate records and ensure compliance with company policies and local employment requirements (e.g., Social Security).
Provide regular feedback and recommendations to leadership on opportunities to improve service delivery, efficiency, and employee satisfaction.
Support special projects and continuous improvement initiatives related to Frontline Operations in Spain.
Qualifications
Experience in HR Operations, Employee Services, Payroll Administration, or a similar People Operations role.
Strong knowledge of Spanish labor administration processes and employment legislation.
Practical experience with TGSS (Social Security), SEPE / Contrat@, SILTRA / RED, sick leave administration, employment contract management, and regulatory compliance.
Experience interacting with public authorities and managing statutory employment-related processes.
Strong problem-solving, stakeholder management, and customer service skills.
Ability to work independently in a plant environment and coordinate effectively with employees, managers, payroll, and centralized HR teams.
Experience supporting employee lifecycle administration, workforce-related queries, and operational issue resolution.
Fluent Spanish and professional English.
