INSEAD is currently looking for a Front Desk Receptionist to join the team Campus Services on our Fontainebleau campus. This is a permanent, full-time position.

The Campus Services Department at INSEAD ensures the smooth operation and management of the school's global campuses. It provides a range of essential services, including facilities management, catering, housing, and security, ensuring a comfortable and safe environment for students, staff, and visitors.

About the job

The Front Desk Receptionist participates in the preparation of group stays and ensures excellent customer service to guests upon arrival, throughout their stay and until departure, ensuring a smooth and efficient check-in/check-out experience, managing discrepancies and problems in an efficient and professional manner. He/She ensures the security of the buildings and guests.

The position holder will report to the Front Desk Manager.

Your role within the team

Customer Service:

  • Welcome guests to the 2 INSEAD properties.
  • Prepare arrivals and departures.
  • Present and explain services of the hotels, campus and general information.
  • Manage switchboard of incoming internal and external calls.
  • Receive and follow-up on guest requests and complaints.
  • Look for solutions and take initiative.
  • Provide concierge service (taxi & restaurant reservations, tourist & campus information).
  • Oversee cleanliness and set-up of lobby, luggage room and back-office.
  • Liaise with Housekeeping Manager.

Operations:                           

  • Verify reservation details (dates, segment, tariff, payment method; special needs).
  • Allocate rooms.
  • Prepare key cards and guest information forms.

Invoicing and Cash Handling: 

  • Impute expenses/disbursements (dry cleaning, bar/meals, taxis etc) to guest accounts in PMS.
  • Manage guest payments (cash/credit card) and invoicing.
  • Follow-up on invoices, proformas, cancellations and no-shows.
  • Verify cash desk funds daily.

Reservation requests :

  • Answer email & telephone reservation requests in a timely manner.
  • Send confirmation details.

Guest Security :

  • Master evacuation procedures & Fire Detection system.
  • Verify comings & goings at hotels & report abnormal situations or behavior.
  • Establish activity reports of incidents & share with incoming shift.

The ideal candidate profile:

  • Undergraduate degree and work experience in Hospitality.
  • Experience in hotel, reception, or customer-facing position.
  • Team spirit.
  • Client-focused.
  • Customer service skills.
  • Ability to collaborate effectively.
  • Organized.
  • Good presentation.
  • Spoken English proficiency.
  • IT/Office Suite savvy, knowledge of PROTEL AIR or other PMS.
